Last updated October 14, 2026. These terms replace the version effective January 17, 2019.
These Terms of Service (“Terms”) govern your use of the AED Log website at aedlog.com, the AED Log customer portal and mobile web app, the reseller console, and the services that come with them (together, the “Service”). The Service is provided by AED Log, 6351 W Montrose Ave, Suite #204, Chicago, Illinois 60634 (“AED Log,” “we,” “us” or “our”).
By creating an account, buying a plan, accepting an invitation or otherwise using the Service, you agree to these Terms. If you use the Service for an organization, you agree on its behalf and confirm that you have authority to do so; “you” then means that organization and its users. If you don’t agree, don’t use the Service.
What AED Log is, and what it isn’t
AED Log is software for managing AED programs and other safety equipment. It keeps records of your equipment, inspections, pad and battery expiration dates, responder certifications, incidents and documents, sends reminders and alerts, and produces compliance reports. Optional add-ons include tracking for other equipment types and physician medical direction.
AED Log is a record-keeping and reminder tool. It is not:
- An emergency service. In an emergency, call 911. Nothing in the Service summons help.
- A real-time monitor. Alerts depend on the information you and your monitoring devices provide and on email, chat and network services we don’t control, so they can be delayed or not arrive.
- A substitute for inspecting and maintaining your equipment. You remain responsible for keeping each AED and each piece of equipment ready, following the manufacturer’s instructions and the law that applies to you.
- Legal advice. The state AED law information on our website and in the app is general information that we review periodically. Laws change, and how a law applies depends on your facts, so check with your own counsel before you rely on it.
Accounts and access
- Your account. Give us accurate information when you sign up and keep it current. Each account has an Account Owner, who controls the account and can invite other users and set their roles and location access.
- Your users. You are responsible for everyone you invite and for what they do in your account. Keep sign-in details confidential, use two-factor authentication or passkeys, and tell us right away at info@aedlog.com if you believe someone has accessed your account without permission.
- One organization per subscription. A subscription covers a single organization. Franchises, subsidiaries and other affiliated entities each need their own subscription, and a subscription may not be shared across separate organizations. Every plan includes unlimited users and locations within your organization. We may review accounts to confirm this and may restrict accounts that don’t comply.
- Who may use the Service. The Service is meant for organizations and their adult staff and volunteers. It isn’t directed to children, and you may not invite anyone under 13.
- Security suspensions. We may suspend access to an account or a user if we reasonably believe it is compromised or is being used in a way that threatens the Service or other customers. We’ll tell you when we do, unless the law or the circumstances prevent it.
Resellers and branded portals
Some customers use AED Log through a reseller’s branded portal, under the reseller’s name and domain.
- If you buy through a reseller, your plan, prices, invoices, payment terms and first-line support come from that reseller under your agreement with them, and payments go to the reseller. These Terms still govern your use of the software. A reseller may sign in to your portal to support you; those sessions show a banner and are recorded in your activity log.
- If you are a reseller, your relationship with AED Log is also governed by your reseller agreement, which controls if it conflicts with these Terms. You set your customers’ prices at or above the platform minimum, bill them through your own Stripe account or outside AED Log, support them, and make sure your terms with them are consistent with these Terms. Reseller pricing is quoted based on volume.
Plans, billing and renewals
- Free trial. A new account you open on our website starts with a 45-day free trial. No payment method is needed, and nothing is charged when it ends. The trial includes the Service’s features and equipment types but not medical direction. If you don’t choose a plan by the end of the trial, your account is paused: you can sign in only to choose a plan, and reminders and alerts stop. We keep your trial records so you can pick up where you left off, and you can ask us to delete them at any time. One trial per organization; we may end or refuse a trial that is being misused. Choosing a plan ends the trial, and billing starts that day.
- Paid plans. After any trial, you pay for your plan before you use it.
- Plans. Plans for customers buying directly from AED Log are priced in tiers by the number of AEDs you track, paid annually or monthly, with prices listed on our pricing page in US dollars. Each active AED uses one license in your tier. Other equipment types and medical direction are add-ons priced per unit per year, on top of the tier.
- Payment. Payments are processed by Stripe. By adding a payment method, you authorize us to charge it for your plan, add-ons, renewals and applicable taxes. Where we agree to invoice you instead, payment is due within the invoice terms.
- Automatic renewal. Your plan renews automatically at the end of each monthly or annual term, and each add-on renews a year after you buy it, at the then-current price, charged to your saved payment method, until you cancel.
- Changes to your plan. Adding licenses moves you to the matching tier right away, and you pay the prorated difference for the rest of your term. Reducing licenses takes effect at your next renewal.
- Price changes. We may change our prices. A change applies from your next renewal, and we’ll give you at least 30 days’ notice by email or in the app before it does.
- Taxes. Unless your quote or invoice says otherwise, prices don’t include sales tax. Where tax applies, it is shown before you pay and on your invoice. If your organization is tax-exempt, contact us before you buy.
- Late or failed payments. If a payment fails, we’ll let you know. If it still isn’t paid, we may limit or suspend your account until it is.
Cancellation and refunds
You can cancel at any time from the billing page in your account or by emailing info@aedlog.com. Cancellation takes effect at the end of your current term, and you keep full access until then. Fees already paid are not refunded, including for unused time in a term, unless the law requires it or we agree otherwise in writing. If you bought through a reseller, cancel with your reseller.
Medical direction
Medical direction is an optional add-on, bought with your plan as an annual license for each AED. It includes an AED prescription, written medical protocols, review of each AED use by the medical director, and compliance documentation. The physician oversight is provided by an independent licensed physician arranged by AED Log or, if you bought through a reseller, by your reseller, not by the AED Log software. The signed oversight letter is stored on each covered AED, with an expiration date set to the license term. AED Log is not a healthcare provider, and medical direction doesn’t create a physician-patient relationship with anyone. It doesn’t replace your own duties under state law, such as training responders, maintaining your AEDs and notifying EMS.
Integrations and third-party services
The Service works with services run by other companies, such as Stripe for payments, Slack, Microsoft Teams and Discord for alert messages, calendar apps that subscribe to your calendar feed, and AED Sentinel and ReadiCheck from Readiness Systems for remote AED monitoring. When you connect one, you authorize us to send and receive the data the connection needs. Each service is governed by its own terms and privacy policy, and we aren’t responsible for it. AED Sentinel monitoring requires Sentinel hardware and service, which you can add through AED Log or bring from Readiness Systems.
AED recall notices are based on U.S. Food and Drug Administration recall data, matched to your units and reviewed by a person before they appear. They may not catch every recall, so also follow your manufacturer’s notices.
Acceptable use
You may use the Service only for your organization’s own safety equipment programs and only lawfully. You agree not to:
- access another customer’s data, or try to get around access controls, rate limits or other security measures
- upload malware, or interfere with or overload the Service
- copy, scrape, reverse engineer or build a competing product from the Service, except as the law expressly allows
- resell or provide the Service to others without a reseller agreement with us
- upload content you don’t have the right to share, or that is unlawful, defamatory or infringes someone else’s rights
- enter sensitive information the Service isn’t built for, such as Social Security numbers, payment card numbers, or patients’ names and other identifying details (incident reports have a limited patient section for an age range, sex and a short note)
- use the Service to send spam or messages people haven’t agreed to receive
Data and privacy
- Your data stays yours. The records, files and other content you or your users put into the Service (“Customer Data”) belong to you. You give us permission to host, copy, process and display Customer Data only as needed to provide, secure and support the Service, and as you direct through the features and integrations you use.
- We don’t sell your data. Our Privacy Policy explains what we collect and how we use and protect it.
- Your responsibilities. You confirm that you have the right to enter the personal information you add about your staff, responders and other people, and that you’ve given any notices the law requires.
- Getting your data out. You can download your records as reports while your subscription is active. Within 30 days after your subscription ends, you can ask us for an export of your Customer Data. After that we may delete it, except where the law requires us to keep it.
- Service information. We may use information about how the Service is used, in aggregated or de-identified form that doesn’t identify you or any person, to operate and improve the Service.
- Feedback. If you send us suggestions, we may use them without any obligation to you.
Intellectual property
AED Log owns the Service, including its software, design, text, graphics and logos. Subject to these Terms and your payment of fees, we give you a limited, non-exclusive, non-transferable right to use the Service for your organization during your subscription. We keep all other rights. You may download and print the free templates and checklists on our website for your organization’s own programs, but not resell them.
AED Sentinel, ReadiCheck and the AED brands named on our website are trademarks of their owners. AED Log isn’t affiliated with or endorsed by them unless we say so.
Liability and warranties
THE SERVICE, INCLUDING ITS ALERTS, REMINDERS, RECALL NOTICES AND AED LAW INFORMATION, IS PROVIDED “AS IS” AND “AS AVAILABLE.” TO THE FULLEST EXTENT THE LAW ALLOWS, AED LOG AND ITS SUPPLIERS DISCLAIM ALL WARRANTIES, EXPRESS OR IMPLIED, INCLUDING WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, TITLE AND NON-INFRINGEMENT, AND DON’T WARRANT THAT THE SERVICE WILL BE UNINTERRUPTED, ERROR-FREE OR COMPLETE, OR THAT ANY ALERT WILL BE DELIVERED.
TO THE FULLEST EXTENT THE LAW ALLOWS, AED LOG AND ITS SUPPLIERS WILL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY OR PUNITIVE DAMAGES, OR FOR LOST PROFITS, REVENUE OR DATA, ARISING OUT OF OR RELATING TO THE SERVICE OR THESE TERMS, WHETHER IN CONTRACT, TORT (INCLUDING NEGLIGENCE), STRICT LIABILITY OR OTHERWISE, EVEN IF ADVISED OF THEIR POSSIBILITY. AED LOG’S TOTAL LIABILITY FOR ALL CLAIMS RELATING TO THE SERVICE OR THESE TERMS WILL NOT EXCEED THE AMOUNT YOU PAID AED LOG FOR THE SERVICE IN THE 12 MONTHS BEFORE THE EVENT GIVING RISE TO THE CLAIM. SOME JURISDICTIONS DON’T ALLOW THESE EXCLUSIONS OR LIMITS, SO SOME OF THEM MAY NOT APPLY TO YOU.
Indemnification. You agree to defend, indemnify and hold harmless AED Log and its officers, employees and agents from any claims, losses, liabilities and expenses (including reasonable attorneys’ fees) arising out of your use of the Service, your Customer Data, your violation of these Terms or the law, or your violation of someone else’s rights. We may take over the defense of any such claim at our own cost, and you’ll cooperate with us.
Suspension and termination
You may stop using the Service at any time. We may suspend or end your access if you materially breach these Terms and don’t fix the breach after notice, if you don’t pay, or immediately where needed to protect the Service, other customers or the public, or to comply with the law. The sections on fees owed, data, intellectual property, liability, indemnification and disputes survive termination.
Disputes
Governing law. These Terms are governed by the laws of the State of Illinois, without regard to its conflict-of-law rules.
Arbitration. If we can’t resolve a dispute informally, any dispute arising out of or relating to these Terms or the Service, whether in contract, tort or otherwise, will be resolved by final and binding arbitration under the Federal Arbitration Act, before a single neutral arbitrator administered by the American Arbitration Association or another service the parties agree on, in a location the parties agree on. The arbitrator decides all questions, including the scope and enforceability of this arbitration clause, and judgment on the award may be entered in any court with jurisdiction. The prevailing party may recover its costs and reasonable attorneys’ fees. Either party may still seek an injunction in court to protect its intellectual property or confidential information. For any court proceeding that is allowed, you consent to the exclusive jurisdiction and venue of the state and federal courts in Illinois.
Class action waiver. Claims may be brought only on an individual basis. THE PARTIES AGREE THAT EACH MAY BRING CLAIMS AGAINST THE OTHER ONLY IN ITS INDIVIDUAL CAPACITY, AND NOT AS A PLAINTIFF OR CLASS MEMBER IN ANY CLASS, COLLECTIVE OR REPRESENTATIVE PROCEEDING. Unless both parties agree otherwise, the arbitrator may not combine more than one party’s claims or preside over any class or representative proceeding.
General terms
- Electronic communications. You agree that we may send agreements, notices and other communications to you electronically, by email or in the Service, and that they satisfy any requirement that they be in writing.
- Customers outside the United States. The Service is operated from the United States. If you use it from elsewhere, you’re responsible for complying with your local laws.
- Entire agreement. These Terms, together with any order form or reseller agreement you sign with us and our Privacy Policy, are the entire agreement between you and AED Log about the Service.
- Other terms. If a provision is found unenforceable, it will be replaced by the enforceable provision closest to its intent, and the rest stays in effect. Not enforcing a provision isn’t a waiver. You may not assign these Terms without our consent; we may assign them in a merger, acquisition or sale of our business. No partnership, joint venture, employment or agency relationship is created. Neither party is liable for delays caused by events beyond its reasonable control. These Terms are written in English, and the English version controls.
Changes to these terms
We may update these Terms as the Service changes. When we do, we’ll change the date at the top of this page, and for material changes we’ll notify Account Owners by email or in the app at least 30 days before they take effect. Using the Service after the changes take effect means you accept them. If you don’t, you can cancel before they apply.
