Vehicle Inspection and Mileage-Based Maintenance Tracking

AED Log schedules vehicle maintenance by mileage and by date, and tracks every registration and insurance expiration. Drivers run the vehicle inspection checklist in a phone's browser, so it works as a fleet vehicle inspection app with nothing to install.

What you track for each vehicle

Each vehicle keeps its identity, its paperwork dates and its odometer, so service comes due on time.

Make, model, year and color

VIN and license plate

Registration expiration, with an alert before it

Insurance expiration, with an alert before it

Odometer readings, and the mileage when service is next due

In-service date, assigned department and notes

The vehicle inspection checklist

AED Log's default vehicle checklist comes due every 5,000 miles or 90 days, and covers the basics a driver can check:

Tires and tread in good condition, with no excessive wear or damage?

Fluid levels (oil, coolant, brake, washer) adequate?

All exterior lights and turn signals working?

Brakes responsive, with no dashboard warning lights?

Wipers and washers working?

Horn working?

Required emergency equipment present (jack, warning triangles, first aid kit)?

Body free of new damage?

Interior clean, with equipment secured? (optional)

A failed answer opens a corrective action and flags the vehicle. Administrators can change the questions, the mileage interval or the date interval.

Mileage, registration and insurance alerts

AED Log warns you when a vehicle is coming due for service, by mileage or by date, and before its registration or insurance expires.

Record an odometer reading and the next service comes due at the mileage you set, alongside a calendar interval. Registration and insurance dates appear on the dashboard, the calendar and the alerts, so vehicle registration and insurance tracking takes care of itself.

Alerts go to the person responsible or to everyone at the site, by email or in Slack, Microsoft Teams or Discord. Vehicle recalls are not tracked.

Incident reports for collisions and breakdowns

When a vehicle is in a collision or breaks down, record what happened for insurance and for the fleet's history.

The driver

Whether it was a collision or a mechanical problem

Any injuries

Any other party involved

The police report number

A description of the damage, and whether it could be driven

Vehicle add-on pricing

Vehicle tracking is an add-on at $10 per vehicle per year, on top of your AED plan.

Every account starts with an AED plan, which covers all your AEDs at one flat rate for the tier. Add one license per active vehicle, and pay only the prorated difference when you add more during the year.

Vehicle maintenance tracking FAQ

Can vehicle maintenance be scheduled by mileage?

Yes. Record odometer readings and service comes due by mileage as well as by date: every 5,000 miles or 90 days by default, and you can change both.

Does AED Log track vehicle registration and insurance?

Yes. Registration and insurance expiration dates are fields on each vehicle, so they appear on the calendar and raise alerts before they lapse.

How much does vehicle tracking cost?

$10 per vehicle per year, on top of your AED plan. Each vehicle you track uses one license.
